What this means
Your printer jams or rejects envelopes because of how envelopes are built. Unlike flat paper, they feature uneven thickness across their side seams and flaps. Rollers cannot grab that unevenness smoothly, causing crooked feeds and sudden stops.
Humidity makes stacks stick together. Adhesive strips and plastic windows melt under the heat inside the machine. If your paper guides are set too tightly, the material buckles before it even moves.
Your printer is not broken. The physical path and software settings simply do not match the thick media you loaded. If your software weight settings are wrong, the machine pushes the envelope through the fuser too fast. The toner flakes right off the surface.
Common causes
- Incorrect media type setting in software
- Overloading the envelope tray or manual feed slot
- Paper guides set too loose or too tight
- Incorrect face up or face down orientation
- Curled, wrinkled, or damp envelopes
- Envelopes with peel-off adhesive strips
- Dirty or worn pickup rollers
What to check first
- 1Check that the envelope size matches the software settings
- 2Ensure the manual feed slot or designated tray is being used
- 3Remove any bent or previously jammed envelopes from the stack
Step-by-step fix
- 1
Adjust the paper guides
Slide the tray guides until they lightly touch the edges of the envelope stack. Do not squeeze them so tightly that the envelopes bend.
- 2
Fan and flatten the stack
Fan the stack of envelopes to prevent sticking from the gummed flaps. Press down on the stack to ensure they are completely flat before loading.
- 3
Check load orientation
Load envelopes in the correct orientation specified by your printer model. Most printers require the flap closed, facing up or down, with the short edge entering first.
- 4
Update software settings
Open your print dialog box, change the paper type to Envelope, and select the exact envelope size such as Number 10 or DL.
- 5
Use the manual feed slot
Open the multipurpose or manual feed slot if your printer has one, as it offers a flatter paper path that significantly reduces jamming.
- 6
Clear stuck debris
If an envelope jams, open the rear access door and gently pull the paper out in the direction of the paper path to avoid tearing.
Watch out for hot metal parts near the fuser area when accessing internal jams.
- 7
Clean the pickup rollers
Power off the printer, open access doors, and wipe the rubber feed rollers with a lint-free cloth slightly dampened with water to restore traction.
Unplug the printer before cleaning internal components.
When to contact a professional
Call a technician if your printer jams constantly on plain paper and envelopes, or if you find broken plastic gears in the paper feed assembly. Never touch the hot fuser while clearing jams. If the machine is still covered, check your warranty before attempting repairs beyond basic troubleshooting.
