What this means
When your Mac cannot find your printer, the hardware is rarely broken. Your Mac uses Bonjour to discover local printers over Wi-Fi or Ethernet. When discovery fails, your computer and printer are simply failing to speak the same local network language.
You do not need to download complex driver software from the internet. MacOS supports AirPrint, and the system downloads compatible drivers automatically through Apple updates. If you use a wireless connection, an enterprise network might be blocking multicast DNS and stopping the discovery process cold.
Stuck print jobs and communication errors do not mean your printer is failing. Delete and re-add the printer in your Printers and Scanners settings to clear the queue. If your DHCP network constantly changes your printer address, assign a static IP address to prevent connection loss. If automatic discovery fails entirely, enter the IP address or hostname manually.
Common causes
- Printer and Mac are on different Wi-Fi networks
- Outdated or missing printer software
- Printer is turned off or in sleep mode
- Network isolation or firewall blocking discovery
- USB cable is loose or faulty
What to check first
- 1Ensure the printer is turned on and ready
- 2Verify the Mac is connected to the internet
- 3Check physical cable connections if using USB
Step-by-step fix
- 1
Open Printers and Scanners
Go to Apple menu, open System Settings, and select Printers and Scanners.
- 2
Add the Printer
Click the Add Printer or Scanner button, select your printer from the list, and click Add.
- 3
Restart Both Devices
Turn off your printer, restart your Mac, and turn the printer back on to refresh the network connection.
- 4
Verify Network Match
Check that your Mac and printer are connected to the exact same Wi-Fi network frequency.
- 5
Reset the Print System
Right-click or control-click the printer list in Printers and Scanners, select Reset printing system, and re-add your printer.
This will remove all currently installed printers from your Mac.
When to contact a professional
Call IT if your office network uses complex VLANs or enterprise firewalls that block Bonjour traffic. Reach out if the network card has failed. Do not service internal printer components while powered on.
